GoTo Webinar

Connect GoTo Webinar so the assistant can publish a marketing event straight to GoTo, or bind one you already scheduled directly in GoTo to an event here. Once connected, registrations, attendance, and in-session engagement flow back into the app automatically, and a reminder or confirmation email can carry each registrant's own personal join link.

What it does

  • Publish creates the webinar at GoTo from an event you built in the app — the app owns the schedule until it's published, then GoTo does.
  • Link existing binds a webinar you already set up directly in GoTo to an event here, using its webinarKey or registration URL — the app adopts GoTo's own schedule from that point on.
  • Registrations sync in near-real-time over GoTo's webhooks, with a periodic sync pass alongside that as backup, so nothing is permanently missed if a webhook doesn't arrive.
  • Attendance and in-session engagement sync in after the event ends — who attended, how long, and their polls, questions, and chat — over a few passes across the following day, once GoTo has finalized them.
  • Registrations you capture yourself push out to GoTo too, so someone registered by hand, through an import, or via a form shows up in GoTo's own registrant list as well.
  • Only single-session webinars are supported — see Single-session webinars only below.

Connecting GoTo Webinar

  1. Open Settings and go to the Integrations tab.
  2. Choose the Webinar category, then the GoTo Webinar card.
  3. Click Sign in with GoTo — this opens GoTo's own sign-in page in a popup window.
  4. Once you authorize the app, the card shows the connected organizer's email and a Disconnect button — that's your confirmation the connection is live.

You can have one GoTo Webinar connection per workspace at a time. Disconnecting removes the stored credentials immediately; an event already published or linked keeps its tie to GoTo, but nothing syncs again until you reconnect.

Publishing vs. linking an event

Ask the assistant to connect an event to GoTo either way — both need your confirmation before they go through, since either one ties the event to GoTo from that point on:

  • Publish an event you've already built in the app. Use this when you started planning here — the assistant creates the matching webinar at GoTo for you. Only a virtual or hybrid event can be published; there's no webinar to create for an in-person one.
  • Link a webinar you already created directly in GoTo. Give the assistant its webinarKey or its registration URL (for example, https://attendee.gotowebinar.com/register/<webinarKey>) and it binds that webinar to the event here. Linking adopts GoTo's own schedule wholesale, so it works even if the event here wasn't dated the same way yet. Anyone who'd already registered in GoTo before you linked it syncs in shortly afterward.

Either way, once an event is tied to GoTo, reschedule it from GoTo going forward.

Single-session webinars only

GoTo Webinar also offers a webinar series — the same session repeated across several dates. A published event is always a single session, since it's created fresh from the event you built here — there's no series to choose from. Linking is where this matters: if the existing GoTo webinar you point the assistant at turns out to be a series or sequence, linking is refused, with a clear explanation, rather than silently adopting just one of its sessions. Use a single-session webinar for now.

What syncs, and when

  • Registrations — near-real-time over GoTo's webhooks, plus a periodic sync pass running alongside as reconciliation and backfill.
  • Attendance and engagement (duration, polls, questions, chat) — after the event ends, over a few passes across the following day, once GoTo itself has finalized the numbers.
  • Contacts are matched or created from GoTo registrants. An incoming registrant is matched to an existing contact, or a new one is created from their name and email. Registering for a webinar isn't the same as opting in to marketing, so no marketing consent is implied by a GoTo registration.
  • Don't want to wait for the next pass? Ask the assistant to sync a linked event right now — for example, "sync registrations for the onboarding webinar" — and it runs one full sync pass immediately. This needs your confirmation too.

Emails: who sends what

  • A published event has its GoTo confirmation and reminder emails turned off. Your own journeys are meant to be the only emails going out for an event you built here, so there's nothing to double up.
  • A linked event is different. Its email settings are whatever you configured directly in GoTo, so GoTo most likely already sends its own confirmation and reminder emails. If you build a reminder journey for a linked event, the assistant will remind you it runs in addition to GoTo's own emails, not instead of them — write your journey's copy with that in mind so registrants aren't hearing the same reminder twice.

A reminder or confirmation email tied to the event can include each recipient's own personal join link — the merge field {{ marketing_event.join_url }} — alongside the existing {{ marketing_event.cancel_url }} cancel-your-registration link. Ask the assistant to add either, or use the merge field directly if you're editing the send yourself. Each renders empty — never a broken link — for a recipient it can't be resolved for, for example before GoTo has issued that registrant's own join link yet.

Notes / limits

  • Only single-session webinars are supported. Linking refuses a series or sequence webinar outright; publishing never creates one in the first place — see Single-session webinars only above.
  • Publishing, linking, and on-demand sync all need your confirmation — the assistant always checks with you before doing any of the three.
  • The join link only resolves for a GoTo-connected event. A manual (unconnected) event has no provider to issue one, so the merge field renders empty there.
  • One connection per workspace. To use a different GoTo organizer account, disconnect the current one first.
