What the assistant remembers

Every organization has a memory of its own: what research found about the company, and the facts people — and routines — asked the assistant to keep. The assistant, your routines and automations, and your journeys' AI steps read it, so what one of them learns about an account is there for the others.

Organization memory is about the company. What the assistant keeps about you and your business is described in User and business memory.

What memory holds

  • The latest research — when it was done, a short summary of the company, notable facts with their sources, and the values you applied. Each research you apply replaces the one before (see Research an organization).
  • Facts — short, dated entries, one line of up to 500 characters each, with who saved it. A fact taken from the web carries the page it came from. The same fact isn't saved twice.

Memory holds up to 50 facts. When it's full and a new fact arrives, the oldest facts a routine saved go first; facts people saved are never pushed out by a routine, and a routine can't add one when memory holds nothing but facts people saved. When memory holds only facts people saved, a fact you ask for replaces the oldest one. Whenever a fact you ask for pushes one out, the assistant tells you which.

Memory never copies your notes: notes stay in the organization's Notes, and private notes stay private.

Who writes it

  • You, through the assistant. Say "remember that Acme is expanding to France" and the assistant saves it and tells you so; say "forget that" and it's removed.
  • Research you apply saves the research and where each applied value came from. Skipping a research card saves nothing.
  • Routines can add facts — at most 5 facts about an organization in one run, each marked with the routine's name and the date, and with its source page when it comes from the web. A routine never edits or deletes an entry itself; when the memory is full, its new fact can push out the oldest routine fact. It never touches the research.
  • Journeys and scheduled automations only read it: they can't add or remove anything.

Who reads it

  • The assistant, whenever it looks an organization up — in a session, a routine or an automation.
  • A journey's AI steps, for a contact linked to an organization: they can read that organization's memory, never write it.

The memory panel on the organization page

On the organization page, the What the assistant remembers panel shows the latest research — its summary, its facts and the values applied, under the day it was done — and every saved fact, newest first, with who saved it, when, and the page it came from. Who saved it reads "the assistant — asked by you", "the assistant — asked by Dana" (or "the assistant — asked by a teammate" for someone without a name in the app), or "routine 'Weekly account news'".

Delete any fact there — you're asked to confirm first — and it's gone for the assistant, your routines and your journeys alike. The research itself isn't deleted from the panel; the next research you apply replaces it.

Merging and archiving

  • Merging organizations adds the facts of the one that goes away to the one you keep — a fact both hold is kept once, the 50-fact limit applies, oldest routine facts first — and keeps the newer research.
  • Archiving an organization keeps its memory; deleting an organization deletes its memory.

Privacy

A fact someone saves could mention a person. When you erase a contact (see What happens when you erase a contact), the facts and field sources in every organization's memory that mention their email address or phone number are deleted — matched on the whole address or number, as for organization notes — and saved research that mentions them is deleted whole. Organization memory is not part of a contact's data export, like the assistant's other memory.

FAQ

Q: Does the assistant remember everything said about an organization in a session? A: No — only what you ask it to remember, and research you apply.

Q: Can a routine remove something I saved? A: No. A routine can only add facts. When memory is full, the oldest facts routines saved make room first, and a routine can't add one when memory holds nothing but facts people saved.

Q: Can I delete the research? A: Not from the panel. Apply a newer research and it replaces the old one; erasing a contact the research mentions deletes it (see Privacy).
